WATCH Finance Admin Officer
Responsible to: Senior Finance Officer
SALARY Scale: £19,000 – £23,000 (37 hours per week)
Job Purpose
- To provide admin support to the senior Finance Officer & Centre Manager
- To assist with preparing budget breakdowns for funding bodies and regular financial reports for management. Process invoices and assist with credit controls and claims for the organisations funded programmes.
- Maintaining accurate financial records within the guidelines imposed by WATCH including; Sales, Purchase, Nominal ledgers, Banking, Time sheets, Absence, Asset Register etc.
- In conjunction with the senior finance officer liaise with all funders and promptly resolve any queries resulting from information submitted.
- Provide Finance and Admin Support and contribute to the smooth running & efficiency of the organisation
Skills & Abilities
Essential: AATL3 qualification or equivalent accounting qualification Minimum of 12 months’ work experience with a finance admin role. Desirable: Work experience within the charity and or voluntary sector
Duties and Responsibilities:
Provide admin support to senior Finance Officer, duties include the following:
- Preparing letters, emails, reports, and documents
- Assist with all claims to funders, i.e. invoices, time sheets in compliance with the requirements of funders
- Receiving telephone calls, taking messages, dealing with calls or passing them on where appropriate, responding to email and voicemail, dealing with enquires
- In conjunction with management and project officers maintain the purchase order system, ensuring that appropriate procedures have been followed and that all purchases are allocated within budgets, where stipulated
- Maintain the WATCH Asset Register
- Making diary appointments, arranging meetings and maintaining diaries
- Prepare for signature and dispatch correspondence of a routine and less complex nature
- Arrange meetings and other events with internal and external bodies, preparing information and organisational support as required
- Develop and maintain clerical procedures, particularly efficient filing system
- Take and distribute minutes at meetings attended by the Centre Manager, weekly team meetings and Senior Management meetings
- Distribute and record data from customer feedback evaluation forms
- Take part in job related and relevant training and development
General Admin Duties:
Work with other team members to ensure that all information is accurately recorded (basic data entry systems)
- Provide where necessary admin support to other members of staff
- Deputize when necessary for other positions within the organisation, particularly reception cover
- Provide where appropriate hospitality for visitors to the Centre
Assist with the promotion of Events organised by WATCH
- Assist with the preparation and distribution of marketing materials
General Duties
- other duties which may be identified from time to time commensurate with the level of the post
- carry out all duties in line with WATCH policies and procedures
